These booking terms and conditions govern all bookings made with The Luxury Booking Travel UK. Please read them carefully as they outline our respective rights and obligations. References to โ€œweโ€ and โ€œusโ€ indicate The Luxury Booking (the Company), and references to โ€œyouโ€ and โ€œyourโ€ include the first named person on the booking, all persons on whose behalf a booking is made, or any other person to whom a booking is added or transferred.

Website Use

Your use of this website is expressly conditioned on your acceptance of the following terms and conditions. If you do not agree with any part of these terms and conditions, you must not use this site.

Booking Options

With The Luxury Booking, you can choose what you want to book with us โ€“ whether thatโ€™s your entire holiday (including accommodation, flights, and transfers) or just parts of it, such as only your accommodation or flights.

  2. Booking Flexibility: You can book online or over the phone. Our online booking engine allows you to book your travel from the comfort of your office or home, any time, round the clock.   3. Terms and Conditions: At the time of making a reservation and deciding to purchase flights, accommodation, or car hire, you pledge that you are authorized to accept and do accept, on behalf of all passengers, the terms and conditions of making a reservation with us and agree to the booking conditions of any airline/contract principal whereby we act as an agent. Therefore, it is strongly advised that you thoroughly review the terms and conditions applicable to all reservations made with and payments made to The Luxury Booking.
  4. Comprehensive Options: With The Luxury Booking, you can choose what you want to book with us โ€“ whether thatโ€™s your whole holiday (including accommodation, flights, and transfers) or just parts of it, such as only your accommodation or flights.

Booking Confirmation

You can also purchase separate, individual elements from us (e.g., accommodation only or flight only). In these circumstances, we will always act as an agent on behalf of the supplier of the arrangements in question (โ€œSupplier/Principalโ€).

Applicable to All Bookings

  1. Booking Your Travel Arrangements

The first named person/lead passenger on the booking or the person paying for the booking agrees on behalf of all persons detailed on the booking that he/she:

(a) Has read these Booking Conditions and agrees to be bound by them; (b) Consents to our use of personal data in accordance with our Privacy Policy and is authorized on behalf of all persons named on the booking to disclose their personal details to us, including, where applicable, special categories of data (such as information on health conditions or disabilities and dietary requirements); ยฉ Is over 18 years of age at the time of booking and, where placing an order for services with age restrictions, declares that he/she and all members of the party are of the appropriate age to purchase those services; and (d) Accepts financial responsibility for payment of the booking on behalf of all persons detailed on the booking.

All services offered are subject to availability. Fares are not guaranteed until they are ticketed.

When you make your booking, you must pay the relevant deposit as specified at the time of booking. No contract will come into existence until we accept your booking, receive your deposit or full payment in cleared funds, and issue you with a confirmation invoice either on behalf of ourselves or the supplier in question. Please ensure that the names given are the same as in the relevant passport.

Upon receipt of your request and deposit, we will confirm your booking and, from that point, cancellation charges will apply. We will send you a confirmation with details of your arrangements. Please note that a telephone booking confirmation is as firmly confirmed as if it were made/confirmed in writing at that time.

Price Guarantee

No price increases will apply once full payment has been received. However, surcharges may be applied in the event of variations in transportation costs, exchange rates, government actions, fees for certain services, or fuel increases charged by carriers. As scheduled airlines reserve the right to increase prices at any time, the price shown on this confirmation invoice will ONLY be guaranteed once full payment is received. The payment of a deposit does not guarantee your seat or the price.

Government Action:ย Our Price Guarantee cannot cover increases due to direct government action, such as the imposition of VAT, passenger levies, or fuel surcharges.

Booking Terms & Conditions

Insignificant Changes

If the airline/supplier makes an insignificant change to your travel arrangements, we will make reasonable efforts to inform you as soon as possible if there is time before your departure. However, we will have no liability to you. Examples of insignificant changes include:

  • Alteration of your outward/return flights by less/more than 24 hours
  • Changes to aircraft type
  • Change of accommodation to another of the same or higher standard
  • Changes of carriers
  • Minor changes to services available at the hotel

Please note that carriers such as airlines may be subject to change.

Significant Changes

Occasionally, the airline/supplier may have to make a significant change to your confirmed travel arrangements. Examples of significant changes include:

  • A change of accommodation area for the whole or a significant part of your time away
  • A change of accommodation to that of a lower standard or classification for the whole or a significant part of your time away
  • A change of outward departure time or overall length of your travel arrangements by more than 12 hours
  • A change of UK departure airport except between:

oย ย ย ย The Scottish airports: Edinburgh, Glasgow, Prestwick, and Aberdeen

  • A significant change to your itinerary, missing out one or more destinations entirely

Your Options in Case of Significant Changes

If the airline/supplier has to make a significant change or cancel your travel arrangements, we will inform you as soon as possible. If there is time before departure, we will offer you the choice of:

  1. Accepting the changed travel arrangements
  2. Receiving a refund of all monies paid
  3. Accepting an offer of alternative travel arrangements of comparable or higher standard if available (at no extra cost)
  4. If available, accepting an offer of alternative travel arrangements of a lower standard, with a refund of the price difference between the original travel arrangements and the alternative travel arrangements

You must notify us of your choice as soon as possible and within the period of time that we give you for acceptance. If we do not hear from you within that time period, we will contact you again to request notification of your choice. If you fail to respond again, we may treat the booking as terminated and refund your payments.

Minor Changes

If we are obliged to make any minor change in the arrangements for your holiday, we will inform you as soon as possible

Package Holidays

Some holidays require a minimum number of participants. If this number isnโ€™t met, we may cancel the tour and refund all payments. Prices may increase if the group size is reduced.

Deposit/Balance Payments Terms & Conditions

Deposits are non-refundable for flights, hotels, or holiday packages. No booking is confirmed until the deposit is received.

For holiday reservations made within 10 weeks of departure, full payment may be required immediately. The balance is due 10 weeks before departure, as shown on your confirmation invoice. We do not send reminders. If the balance is not paid by the due date, we may cancel your holiday, retain your deposit, and charge a ยฃ120 late payment fee per passenger.

All airfares/prices are indicative and subject to change by airlines or authorities. Any price differences must be paid by the traveler at final payment or ticket expiry.

Airport Taxes:ย Some airports charge a departure tax payable locally. This is not included in our quoted fares

Changing Your Arrangements

To change any item (except increasing the number of persons), an Amendment Fee per person will apply. Changes must be confirmed in writing. Additional taxes may be required and will be communicated before ticket issuance.

Terms and Conditions for Cancellation

If you or any member of your party needs to cancel your holiday, notify us in writing. The person who made the booking is responsible for cancellation charges. Most cancellations result in a 100% loss of the total cost. Charter flights carry a 100% cancellation fee both before and after ticket issuance. Insurance premiums and airport tax charges are non-refundable.

Changes to holiday arrangements or flight reservations are generally not allowed. Tickets are typically non-refundable, non-changeable, and non-transferable. Any amendments will incur a charge up to ยฃ75 per person, plus any additional costs from suppliers.

Cancellation charges:

  • 60 days or more: Deposit forfeited + 30% of total cost
  • 46-60 days: 50% of total cost
  • 28-45 days: 60% of total cost
  • 4-27 days: 80% of total cost
  • Less than 3 days: 100% of total cost

Refunds for cancellations are processed within 4-10 weeks, provided funds are received from the airline. Refunds are made to the original payment account unless specified otherwise.

Deposit Policy

Deposits are non-refundable in any case of cancellation, except for medical conditions.

Note: For instalment/partial payment plans, refunds will be processed in the same manner.

Airline Cancellations

If an airline cancels its flights, travellers must provide necessary documents or letters from the airline, along with a ticket scan or any other requested evidence. Refund claims must be filed within 7 to 48 days of the cancellation. Claims submitted after this period will not be processed

Holiday Package Cancellation

If the traveller cancels accommodation, hotel, or package on request, or due to late/no show, cancellation charges depend on the supplierโ€™s terms and conditions. These charges vary based on whether you booked a package or other travel arrangements. Generally, package/hotel reservations are fully non-refundable, non-changeable, and non-transferable unless specified.

Deposit payments for accommodation, hotel, or package are non-refundable. In some cases, agents may adjust these for future bookings if confirmed in writing via email. No refunds are given for unused components after departure. Cancellations take effect from the day written confirmation is received.

All packages are non-transferable. If a traveller is dissatisfied with travel arrangements after arrival, check-in, departure, or completion of purchase, and books/transfers to other accommodations/services, the agency is not liable for additional costs/charges/damages.

Ensure all travel arrangements are confirmed by calling our agents 48 hours before departure. If re-confirmation is not made, the agency is not liable for schedule revisions or changes/delays.

The agency is not responsible for the standards, services, or actions of any party (traveller, seller, supplier, airline, and hotel) once the purchase process is completed

Financial Protection

When you purchase an ATOL-protected flight or holiday from us, you will receive an ATOL Certificate. This certificate details what is financially protected and who to contact if issues arise.

If we or the suppliers listed on your ATOL Certificate cannot provide the services due to insolvency, an alternative ATOL holder may step in at no extra cost. If no alternative is available, you can claim under the ATOL scheme or through your credit card issuer.

In return for any payment or benefit under the ATOL scheme, you assign any related claims to the Trustees of the Air Travel Trust.

Modes of Payment

The Luxury Booking reserves the right to refuse a booking if payment has not been debited.

  1. Cash Payments
  • Cash payments can be made in person, through transfer, or by deposit in a bank. This is the quickest method for same-day or urgent reservations.
  • We do not accept cash payments through postal mail.
  • Travellers can deposit cash at any bank branch. Please contact our travel agents for the company bank account details.
  • There is a charge on cash payments per ยฃ100, as stated by the bank.
  • When making a cash deposit, quote youโ€™re booking reference number or full name and notify your agent once the payment is made. Ensure your name is included as a reference on the payment.

Payments with Card

Using a card is the most common payment method for online and phone reservations. There is no surcharge for cards issued by banks in the EEA, regardless of the card type. Exceptions include cards issued outside the EEA and corporate cards, where we may recharge our costs.

Debit Card

We accept Debit and Maestro Cards.

Credit Card / AMEX Card / Other Cards

We accept Visa, MasterCard, JCB, American Express, and Diners Club. Third-party documentation is required if the cardholderโ€™s name differs from the travellerโ€™s

Termination of Booking Agreement by Passenger

Once a client confirms the flight itinerary via email, they cannot terminate the agreement if the ticket has been issued and balance paid by us. Full balance payment is required. Legal action may be taken, including suing for a minimum of ยฃ10,000. This applies to instalment payment plans only.

Travel Booking Conditions

These conditions include exclusions and limitations on liability. If any are invalid, the remaining conditions remain valid. Disputes are governed by English law and courts.

Travel Arrangement Changes by Suppliers

โ€œForce Majeureโ€ includes unforeseeable circumstances beyond our control, such as war, civil strife, natural disasters, and technical problems.

Travel Documents

You are responsible for all passport, visa, travel insurance, and health certificate requirements. We are not liable for delays or expenses due to document issues. Re-issuing lost, destroyed, or stolen tickets incurs charges.

Major Changes

Major changes include:

  • Departure or return time changes of 12+ hours
  • Change in UK departure airport (excluding London airports)
  • Change to a lower-rated hotel or apartment
  • Significant change of resort area
  • Significant price increase

False Scam Accusation

We reserve the right to sue for false scam accusations. Additional costs due to account closure will be charged to the client. Refunds take 4-6 weeks. False accusations before this period result in the client bearing all additional expenses.
